The short version
We collect the information you give us to run CaddieTrail. We use it to operate the product, send you relevant emails, and occasionally share partner offers — sent by us, on their behalf, never by handing your data to anyone else. We don't sell your information. Ever. You can delete your account and all associated data at any time.
1. Who we are
CaddieTrail is operated by CaddieTrail LLC, a Michigan limited liability company. When this policy says "CaddieTrail," "we," "us," or "our," it means CaddieTrail LLC. Questions about this policy can be directed to hello@caddietrail.com.
2. What we collect and why
Account information
When you create an account we collect your name, email address, and home state. We use this to create and identify your account, send transactional emails (confirmations, renewal reminders, product updates), and personalize your experience — for example, pre-loading your home state trail on your dashboard.
Golf profile information
During onboarding and through your profile settings, you may optionally provide your home club, favorite course you have played, and your number one bucket list course. This information is used solely to populate your living golf résumé on CaddieTrail. It is not shared with third parties and is not used for advertising targeting.
Activity data
We collect the courses you mark as played, courses you add to your Want to Play list, your personal star ratings, and any round notes you write. This data powers your trail progress, dashboard stats, and profile. Round notes are private to you and are never displayed publicly or shared.
Payment information
If you subscribe to a Member plan, payment is processed by Stripe. We do not store your credit card number, expiration date, or CVV. We receive confirmation of payment status and your subscription details from Stripe. Stripe's privacy policy governs how they handle your payment data.
Usage data
We collect standard server logs including your IP address, browser type, pages visited, and time spent on the site. We use this to operate and improve CaddieTrail. We do not sell or share this data.
3. What we never do
- ✓We never sell your personal information or email address to any third party.
- ✓We never share your round notes, personal ratings, or golf profile with other users or third parties without your explicit permission.
- ✓We never use your data to build advertising profiles or sell access to your information to advertisers.
- ✓We never send your contact information to a partner directly — any partner communications come from CaddieTrail, not from the partner.
4. Partner communications
From time to time, CaddieTrail may send emails on behalf of carefully selected partners — golf courses, resorts, equipment brands, or travel companies that we believe are relevant to our members. These emails are sent by CaddieTrail, from a CaddieTrail email address, and we do not provide the partner with your contact details.
You can opt out of partner communications at any time by clicking "unsubscribe" in any such email or by updating your email preferences in account settings. Opting out of partner emails does not affect transactional emails related to your account or subscription.
5. Cookies and tracking
We use cookies and similar technologies to keep you logged in and to understand how CaddieTrail is used. We do not use third-party advertising cookies. We may use analytics tools (such as a privacy-respecting analytics provider) to understand aggregate usage patterns. These tools do not identify individual users.
6. Data retention and deletion
We retain your account and activity data for as long as your account is active. If you delete your account, we permanently delete your personal information, golf profile, activity data, and round notes within 30 days. Aggregate, anonymized data (for example, the total number of times a specific course has been checked in across all users) may be retained indefinitely as it cannot be used to identify you.
To delete your account, go to Settings → Account → Delete Account. If you encounter any issues, contact us at hello@caddietrail.com and we will process your request within 7 business days.
7. Your rights
You have the right to access, correct, or delete the personal information we hold about you. You can update your profile and account information directly in settings. For any other requests — including data export or deletion — contact us at hello@caddietrail.com. We will respond within 7 business days.
If you are located in the European Economic Area or California, you may have additional rights under GDPR or CCPA respectively. Contact us and we will honor any applicable rights promptly.
8. Children
CaddieTrail is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with their information, please contact us and we will delete it promptly.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page and, for material changes, notify you by email. Your continued use of CaddieTrail after a policy change constitutes your acceptance of the updated policy.
